Who can use this mechanism

This mechanism is open to any external stakeholder, including suppliers, contractors, contract manufacturers, customers, members of communities near our premises, and other third parties who wish to raise a concern about Enerzolve’s environmental, social, labour, ethical or operational conduct.

How to raise a concern

You can raise a concern through any of the following channels:

  • Email: contact@enerzolve.com
  • External Grievance Form:
  • By phone, on +91-895130776 (working days, Monday to Friday, 10:00 am to 6:00 pm IST).
  • In person or in writing, to the Grievance Officer at the address below.

Anonymous reporting: You do not have to identify yourself to raise a concern. You may submit a complaint anonymously, either by using the anonymous option on the online form or by simply leaving out identifying details in your email. Anonymous complaints are logged and investigated on the same basis as identified complaints, to the extent the information provided allows us to do so.

Language: You may raise a concern in English, Hindi or Kannada. If you need help putting your concern in writing, our Grievance Officer can record it for you.

Our Grievance Officer

Enerzolve’s OHS/E&S Coordinator is our designated External Stakeholder Grievance Officer — your primary point of contact for any external environmental, social or operational concern.

  • Name & designation: Sanjay Subramani, OHS/E&S Coordinator
  • Email: contact@enerzolve.com
  • Phone: +91-895130776
  • Registered office address: 2nd Floor, Urban Vault, 1608, 7th Cross Rd, Agara Village, 1st Sector, HSR Layout, Bengaluru, Karnataka 560102

These contact details are reviewed at least annually, or within 7 days of any change in the person holding this role.

How we handle your data

Any personal data you share with us when raising a concern — your name, contact details and the details of your complaint — is processed by Enerzolve, acting as a Data Fiduciary under the Digital Personal Data Protection Act, 2023 (DPDP Act), solely to record, investigate and resolve your grievance, and for legally mandated recordkeeping. We keep your identity confidential and do not disclose it to any party against whom the complaint is made, except where necessary to conduct a fair investigation, where required by law, or where you have given your consent.

You may exercise your rights as a Data Principal under the DPDP Act — including access, correction, erasure of your personal data, or raising a grievance about how it has been handled — by writing to contact@enerzolve.com. We retain grievance records for 5 years from closure of the grievance, or longer where required by law, after which they are securely deleted. If you are not satisfied with our response to a data-related grievance, you may approach the Data Protection Board of India.

What happens after you raise a concern

  • We acknowledge receipt of your concern within 5 working days.
  • Your concern is logged in our External Stakeholder Grievance Register, recording the date received, the nature of the complaint, its relevance to any applicable IFC Performance Standard, the person investigating it, and its status.
  • We investigate by reviewing relevant evidence and, where appropriate, conducting site visits or interviews, and document any corrective or preventive action identified.
  • We communicate a written outcome to you, including any corrective action taken, within 30 calendar days of acknowledging your concern. For complex matters, we may extend this once by up to 15 additional calendar days, and we will tell you why.
  • Concerns assessed as Major or Critical — for example, those involving serious harm to people or the environment, a breach of law, or a risk to the wider community — are escalated immediately (see Escalation, below) and, where material, reported to our investors and lenders.

Escalation

Most concerns are resolved directly by our Grievance Officer within the timelines above. Where a concern is not resolved at that stage, or is assessed as Major or Critical, it is escalated as follows:

  • Level 1 — OHS/E&S Coordinator (Grievance Officer): initial receipt, logging and investigation of all concerns.
  • Level 2 — Management Representative: unresolved or Major/Critical matters. Contact: Anupam@enerzolve.com.
  • Level 3 — CEO / Board (via the Management Representative): matters of significant severity or requiring investor/lender visibility.

If you are not satisfied with the outcome — our appeal process

If you are not satisfied with how your concern was investigated or resolved, you may appeal in writing to the Director at Anupam@enerzolve.com within 15 calendar days of receiving our outcome. Your appeal will be reviewed by someone who was not involved in the original investigation, and we will issue a final written decision within 30 calendar days of receiving your appeal. This decision is final for the purposes of this mechanism, and does not affect any rights you may have under applicable law.

No retaliation

Enerzolve does not retaliate, and will not permit any partner or contractor to retaliate, against any person who raises a concern in good faith through this mechanism.

Keeping this policy current

This External Stakeholder Grievance Mechanism is reviewed at least annually, or after any material change to our operations or this process.
